Practical workflow and software versions: original mixed practice with explanations

Knowing the routine is one thing, and applying it when your screen looks different from the example is another.

This set covers the whole of practical workflow and software versions: checklists, finding features, requirements and preferences, export checks and safe evidence. Questions run from easy to harder.

Cover each answer, write your own, then compare. All files, records and people are invented.

Questions

Q1 (easy). Brief: “Open the file, add a Discount column, sort by name and export a PDF.” List the action verbs and say how many steps the checklist needs at minimum.

Verbs: open, add, sort, export. That is 4 actions, so at least 4 steps. A good checklist adds a check after the steps that change data.

Q2 (easy). A tutorial uses a button called “Remove Duplicates” and your software shows no such button. What is your first move?

Name the action in plain words (remove repeated rows) and search the program’s help or menu search with words such as duplicate or unique. Do not give up because the label differs.

Q3 (easy). Brief: “Use landscape orientation and save as report_2.pdf.” Your program starts in a dark colour theme. Which items are requirements and which are preferences?

Landscape orientation and the filename report_2.pdf are requirements. The dark colour theme is a preference, because the brief does not mention it.

Q4. A CSV export has a header and 6 data rows. How many lines does it contain, and where does the header sit?

7 lines: 1 header plus 6 data rows. The header is the first line.

Q5. A sheet has Qty 7 at RM3.00 and Qty 3 at RM8.50. Total is =B2*C2 and =B3*C3, and a grand total uses =SUM(D2:D3). What values should the reopened CSV hold?

7 × 3.00 = 21. 3 × 8.50 = 25.50. Sum: 21 + 25.5 = 46.5. Check: 25.5 + 21 = 46.5. The CSV stores values such as 21, 25.5 and 46.5, not the formulas.

Q6. A member list has IDs 21, 22, 22, 23, 23, 23, 24. After removing repeated IDs, how many rows remain, and how many were removed?

Seven rows start. The unique IDs are 21, 22, 23 and 24, so 4 rows remain. Removed: 7 − 4 = 3. Check: one extra 22 and two extra 23 give 3.

Q7. A fictional table items holds (name, qty, price): (Roti, 12, 1.50), (Kuih, 8, 2.25), (Pau, 5, 4.00), (Tart, 0, 3.00). What does this return?

Only Roti (12) and Kuih (8) have qty above 5. Pau has 5, which is not greater than 5, and Tart has 0. Ordered by name: Kuih, Roti.

Q8. A brief states 7 requirements. Your checklist covers 5 of them. How many are missing, and what is the risk?

7 − 5 = 2 are missing. Each missing item is a stated requirement that a marker can check, so skipped lines are likely to be lost. Compare the checklist against the brief line by line before you start.

Q9. You export a table to PDF expecting 2 pages. The reopened file has 3 pages and the last column sits alone on page 3. What do you change?

Adjust the page layout so the table fits, for example landscape orientation or narrower columns, export again and reopen. The “export complete” message does not tell you the layout is right.

Q10. A student wants help with a formula error and plans to paste a real 30-pupil register into an online chat. Describe a safer way to get the same help.

Build a small invented copy with the same columns, for example 4 rows named Student A to Student D, and include the formula that fails. Share or test only that. The error usually reproduces, and no real person’s details leave the device.

Questions people ask

Should I do the questions on a computer?

Where a question describes a task, try it on a computer too, in the software you actually use. Build the checklist, find the feature, export the file and look at the result. Doing the steps once makes the reasoning stick far better than only reading the answer.

How should I mark my own work?

Write your answer first, then open the worked answer. Mark an answer correct only if both the result and the reason match. If you guessed correctly, count it as a slip and revisit the lesson.

Are these questions from past papers?

No. They are original, and every file, record and person in them is invented. They practise the skills in this module. Check the Cambridge syllabus and your centre for how the real practical assessment is organised.
