Adapt the tone of a message to the intended reader

The same request can sound friendly to a friend and rude to a head teacher.

To adapt tone, decide who is reading, then choose tu or vous, a matching opening, a matching request and a matching closing. This appears in writing tasks such as an email to a host family, a note to a friend, or a letter to a school.

It rounds off culture and international experiences. It also depends on the careful, fair language practised in describing a visit without stereotypes.

Verbs, possessives and pronouns must change together. If you choose “vous”, then “votre”, “vos” and the “-ez” verb endings follow.

Worked example

Situation: Amir cannot attend an exchange activity on Saturday. He needs to write to a friend and to the school’s head of languages.

Message 1, to a friend, Zoé:

Salut Zoé, ça va ? Je ne peux pas venir samedi, parce que j’ai un match. On peut se voir dimanche à la place ? Dis-moi si ça te va. À bientôt, Amir

Message 2, to the head of languages, Madame Roussel:

Madame, Je vous écris pour vous informer que je ne pourrai pas participer à l’activité de samedi, car j’ai une compétition sportive. Serait-il possible de me proposer une autre date ? Je vous remercie de votre réponse. Veuillez agréer, Madame, mes salutations distinguées. Amir Hassan

What changed: the pronoun (tu, te to vous, votre), the opening, the verb form (“peux” to “pourrai”, “on peut” to “serait-il possible”), the thanks and the closing. The reason and the request stayed the same.

The mistake to watch for

Mistaken message: Salut Madame, tu peux changer la date ?

The opening is too casual and the “tu” is wrong for a teacher. The sentence is also very blunt, because it has no reason and no polite form.

Correction: Madame, serait-il possible de changer la date ? Je vous remercie. Changing the pronoun and adding a polite structure fixes the tone without making the message long.

(b). Choice (a) is a formal ending for official letters and would feel strange in a message to a friend.

3. Write an opening line to your host mother, whom you have just met. Use the correct pronoun.

For example: Chère Madame Dupont, je vous remercie de votre accueil. An adult host you have just met calls for “vous”. If the host asks you to use “tu”, follow that.

Questions people ask

When do I use tu and when do I use vous?

Use "tu" for a friend, a classmate or a young relative. Use "vous" for an adult you do not know well, a teacher, a head teacher or someone in an official role. Use "vous" for more than one person. If the task does not say, read the situation.

How do I end a formal French letter?

A safe closing is "Veuillez agréer, Madame, Monsieur, mes salutations distinguées." For a less rigid but still polite message, "Cordialement" works. Check whether the task is a letter or an email, and keep the closing consistent with your opening.

Can I use slang in an informal message?

Light informal phrases such as "Salut", "ça va ?" and "à bientôt" are fine. Avoid heavy slang you cannot spell or explain. Clear, friendly French is stronger than risky slang, and examiners value accuracy.
