This set covers the whole of file organisation and evidence: folder structure, file types, exports, evidence and filenames.
Questions run from easy to harder. Cover each answer, write your own, then compare. All files, records and people are invented.
Questions
Q1 (easy). Name the four folders in the standard task structure and say what each holds.
Show answer
01_source holds files you were given and never edit. 02_working holds copies you edit. 03_output holds finished artefacts. 04_evidence holds screenshots and notes. The numbers keep them in workflow order.
Q2 (easy). What type is a file named menu.pdf, and what does that type do to layout?
Show answer
A PDF, a portable document. It fixes the page layout for viewing and is not meant for editing cell by cell.
Q3 (easy). Which is a safer name: Task 3 final.docx or task_03_v1.docx? Give two reasons.
Show answer
task_03_v1.docx. It has no spaces, and it carries a version number instead of the vague word “final”.
Q4. A file is called members.csv.txt. Which extension counts and what type does it behave as?
Show answer
The last one, .txt, so it opens as plain text. To get a real CSV, save again as CSV and use the base name members.
Q5. A sheet has Qty 6 at RM2.50 and Qty 4 at RM7.25. The Total column uses =B2*C2 and =B3*C3, and a sum cell uses =SUM(D2:D3). What numbers appear in the CSV export?
Show answer
6 × 2.50 = 15.00 and 4 × 7.25 = 29.00. Sum: 15 + 29 = 44. Check: 29 + 15 = 44. The CSV stores the values 15, 29 and 44, not the formulas.
Q6. After exporting to PDF, you notice column C is missing. Give a likely cause and the fix.
Show answer
Column C was probably hidden or outside the print area. Unhide it or widen the print area in the working file, export again and reopen the PDF.
Q7. You must prove a cell uses a formula. Which screenshot is better: A, the sheet showing 44, or B, cell D4 selected with =SUM(D2:D3) in the formula bar?
Show answer
B. A shows only a value, which could be typed. B shows the formula that produced it.
Q8. Write the folder path for a screenshot called evidence_sort_order.png in the task school_fair.
Show answer
school_fair/04_evidence/evidence_sort_order.png.
Q9 (harder). Aiman (invented) has the task folder Fair stuff containing fair.xlsx, fair (2).xlsx, fair.csv and Screenshot 5.png. List four changes that fix the structure and names.
Show answer
- Create
school_fairwith the four numbered subfolders. - Put the original in
01_source, and edit a copy in02_workingnamedschool_fair_v1.xlsx. - Export a fresh CSV to
03_outputasschool_fair_v1.csv. - Rename the screenshot to describe its content and move it to
04_evidence, for exampleevidence_total_formula.png. Other sensible answers are accepted if they follow the same logic.
Q10 (harder). Checklist run: the task asks for Report_Final.pdf. Your file is report final.pdf.pdf in 02_working. List every fix.
Show answer
- Rename to exactly
Report_Final.pdf, including capitals, because the task gives the name. - Remove the doubled extension, leaving one
.pdf. - Remove the space.
- Move the file to
03_output, since it is a finished artefact.
If you got these wrong
| Error pattern | Go to |
|---|---|
| Mixed up folders or edited the original | Practice folder structure |
| Misread a type or extension | Type versus extension |
| Lost formulas, hidden columns or layout | Exporting safely |
| Evidence that shows a value but not the setting | Capturing evidence |
| Risky or wrong filenames | Filename check |
Log each slip in the mistake log, and use the practical task and evidence checker on your next task.
